In the Settings - Tasks section, you can manage tasks across various categories, ensuring that different aspects of your operations are organized efficiently. This guide will walk you through setting up tasks, understanding their parameters, and utilizing task groups for better organization.
Task Categories:
The Tasks section is divided into several categories, each focusing on different operational areas. These categories are:
• General Tasks
• Booking Tasks
• Licence Tasks
• Release Tasks
• Product Tasks
Each category allows you to create and manage tasks specific to that operational area, providing a more organized and focused approach to task management.
Managing Single Tasks:
Single tasks are individual tasks that you can create and manage separately. These tasks can be assigned to specific users and set up with customized deadlines.
Here’s how you can set up a single task:
1. Access the Task Section:
• Navigate to SETTINGS in the left-hand menu.
• Click on TASKS under Settings.
• Select the Tab of the relevant task category (e.g., General Tasks, Booking Tasks) at the top.
2. Create a New Task:
• Click on + Add Task.
• Fill in the required fields:
• Task Name: Enter the name of the task.
• Day Shift: Define the deadline for the task in relation to the event date. Use negative values for tasks before the event (e.g., -40 days for artist travel) and positive values for tasks after the event (e.g., 5 days for feedback collection).
• Assigned User: Select the user responsible for completing this task.
• Sent User: The task’s primary owner who oversees its completion.
• Click the blue edit icon on the right to save or modify task details.
3. Additional Options for BOOKING Tasks:
• Display Local Details: Choose whether to show specific local details within the task modal on the event page to aid coordination.
• Display Travel Information: Enable this to show travel-related details in tasks, such as pickup arrangements or consolidating travel times and locations.
• Delete Task if Artist is Cancelled: If enabled, the task will be automatically removed if the assigned artist is canceled from the event.
Task Groups:
Task Groups allow you to group several tasks together for more streamlined management. This is particularly useful when you have multiple related tasks that need to be handled as a single unit.
1. Creating a Task Group:
• Under the Tasks section, scroll down to the Task Groups area.
• Click on + Add New Task Group.
• Name your Task Group and start adding individual tasks to it by selecting from the available tasks.
2. Managing Task Groups:
• Each task group will display the number of tasks it contains. You can click on any group to expand and view the tasks within it.
• To edit or remove tasks within the group, use the edit or remove icons next to each task.
